Your guest numbers, catering requirements, entertainment, timings, accommodation needs and preferred room layout all affect whether a space will work. There are also practical details that are easy to overlook when you are concentrating on how the venue looks.


Our advice is simple: never worry about asking too many questions.


A good events team should be happy to talk you through the details. In fact, the more we understand about an event at the beginning, the easier it is to recommend the right setup and avoid surprises later.

Here is what we would ask.


1. Is My Preferred Date Available?

Start with the obvious one.


If you have a fixed date, confirm availability before getting too far into discussions. Popular Fridays, Saturdays and seasonal dates can be booked well in advance.


If you have some flexibility, ask whether alternative dates could give you more options. This can be particularly useful when organising a corporate event or celebration where the exact date is less important.


2. How Many Guests Can the Venue Accommodate?

Do not just ask for the venue's maximum capacity. Tell the events team what you actually want to do.

A room set up for a formal dinner may accommodate a different number of people than the same room arranged for a conference, drinks reception or party with a dance floor.

  • When is the final balance due?

20. Can We Visit the Venue Before Booking?

Photographs can tell you a lot, but being physically in the space gives you a much better sense of its atmosphere, size, surroundings and practical layout.


During your viewing, treat it like a venue tour and walk through the event from your guest's perspective, including any outdoor space if that's relevant to your plans.


Where will they park? Where will they enter? Where will drinks be served? Where are the toilets? Where will people sit, eat, talk or dance?


If you're considering using outside areas, ask about the rain plan or backup plan for bad weather.

And importantly, how does the venue make you feel?


Practical details matter, but events are experiences. You want somewhere that feels right for the occasion you are creating.
